The funny thing about working in a smart office is that almost everything reminds you of something. The lights know when people enter the room. Meeting rooms are booked with a single tap. Coffee machines tell you when they need cleaning. Yet somehow, recyclable waste still depended entirely on human memory.

One morning our facilities coordinator walked through the office carrying an empty cardboard box. He stopped halfway, looked around and laughed. “We’ve automated half the building, but I’m still walking around looking for a recycling bin.”

That sentence stayed with me.

Our office had become increasingly digital over the years. Documents were shared online, meetings were often hybrid and even visitors checked themselves in using a touchscreen. Despite all this technology, empty drink bottles, packaging from new equipment and shipping boxes quietly appeared wherever people happened to be working.

Nobody ignored recycling on purpose. The problem was much simpler. People were constantly moving between workstations, meeting pods and collaboration areas. If a recycling bin wasn’t nearby, the item simply stayed on the nearest desk until someone remembered it later.

Instead of expecting people to change their habits, we changed the workplace. We placed a dedicated recycling bin exactly where employees naturally paused between tasks. It quickly became part of the office landscape, almost as familiar as the printer or coffee machine.

A few weeks later we noticed something unexpected. The office looked tidier without anyone talking about tidiness. New laptops were unpacked, boxes disappeared immediately, bottles rarely stayed on desks and shared spaces were ready for the next meeting without anyone making a special effort.

One visitor asked whether we had introduced a new clean-desk policy. We hadn’t. The only change was that recycling had become just as accessible as every other tool people used during the day.

That reminded us of something important. A smart office isn’t defined only by technology. It’s also about designing everyday routines so that the easiest choice is the one people naturally make. Sometimes the smartest improvement isn’t another digital system at all. It’s simply placing the recycling bin exactly where it belongs.
