The first thing I noticed in our co-working office wasn’t the noise or the constant flow of people. It was the coffee mugs. Every desk seemed to have one, but by lunchtime half of them had been replaced by takeaway cups, water bottles or snack wrappers left behind by someone rushing to their next meeting.

Unlike a traditional office, nobody here had exactly the same routine. Some members arrived before sunrise, others only came in for a few hours. Freelancers, startup founders, designers and remote employees all shared the same space without really knowing each other. That made small habits surprisingly important.

One afternoon I watched a new member wander around the office holding an empty bottle. After looking into three different rooms, he finally asked, “Sorry… where do you recycle this?” Nobody had a quick answer. Everyone pointed in a different direction.

It made me realise that recycling in a co-working office shouldn’t require local knowledge. If someone needs instructions just to throw away a bottle, the system isn’t working as naturally as it should.

We moved a dedicated recycling bin into one of the busiest shared areas where people naturally passed several times a day. Nobody announced the change. There was no email and no new office policy. The bin simply became part of the space.

A couple of weeks later the difference was impossible to ignore. Visitors instinctively used it without asking questions. Members who had only rented a desk for a single day sorted their waste just as confidently as people who had worked there for years. Shared tables stayed available for the next laptop instead of slowly filling with cups and packaging.

One regular member joked that the office finally felt like an airport lounge where everything was exactly where you expected it to be. I understood what he meant. Good shared spaces remove unnecessary decisions so people can focus on why they came there in the first place.

Looking back, the recycling bin wasn’t just another piece of office furniture. It quietly became part of the rhythm of the building. In a workplace where people are constantly arriving, leaving and meeting someone new, simple things that everyone immediately understands often make the biggest difference.
